RECRU AI Voicebot
RECRU AI Voicebot enables automatic calls with candidates using an AI Agent. The agent conducts the conversation, asks questions, evaluates responses and saves the results directly to RECRU. Below you will find instructions on how to set up and launch the voicebot.
1. Launching the Voicebot from the Database
Launch the Voicebot by selecting candidates in the Database. After selecting the candidates, click the Actions button and choose Voicebot Interview from the list.

After clicking Voicebot Interview, an introductory screen will appear with information about the service price and terms. These must be accepted.

2. Voicebot Setup
Phone number
Select which phone number the Voicebot should use to call the candidate.

Interview language
Select the primary language in which the conversation with the candidate will be conducted.
Agent voice
Select the voice the Voicebot will use to communicate with candidates. Click Preview and listen to each voice before making your selection.

AI Instructions
Enter instructions for the AI – set the tone, structure and focus of the conversation according to your needs.

Interview questions
Add questions for the Voicebot to ask the candidate (max. 10 questions). The more specific the questions, the more accurate the analysis you will receive. Without questions, the Voicebot will conduct the conversation based on the selected type and position.


Interview duration
Set how long the Voicebot should conduct the conversation with the candidate (1 – 15 minutes).

The recommended call duration should reflect the number and nature of the questions, so that the Voicebot does not end the call prematurely.
Job position information
Fill in the position title and job description. The Fill with AI button is also available to help you with this.

Agent name
Enter the agent name under which it will be saved in RECRU.
3. Scheduling the interview
After saving the agent, enter the date and time when the Voicebot should contact the candidate. The conversation does not have to start exactly at the set time – a slight delay may occur. Click Schedule interview.
4. Setting Up the Voicebot on a Project
You can also set up a Voicebot agent directly on a project. In the Project Settings, go to the RECRU AI VOICEBOT section.

Just like in the database, you can choose whether to use an existing agent or create a new one. The setup process is identical.

If a Voicebot agent is already active on the project, the system will inform you. To edit the settings, click
Continue.
Setting up an agent on a project is intended for repeated use on candidates within a given project.
If you update the Voicebot settings on a project, the changes will apply to new calls. Calls that were already scheduled before the update will retain their original settings – they will not be automatically updated. In this case, you can delete the scheduled calls and reschedule them.
5. Launching from the Project Pipeline
If you have a Voicebot agent set up on a project, you can launch calls directly from the Pipeline. Select candidates, click the actions button and choose Voicebot Interview.
6. Call Overview
Communication Section
All Voicebot interviews across projects can be found in the menu Communication → RECRU AI Voicebot. You can filter by candidate, agent, project, status or date.
Results in the candidate profile
In the candidate profile, you can display the new RECRU AI Voicebot widget with all interviews and their results.

In all of the above sections, you have the option to view the result details.

In the result detail, you will find the candidate suitability expressed as a percentage, Company Fit rating and interview status. The main part is the AI Analysis, which contains:
Strengths – positives of the candidate identified during the conversation.
Weaknesses – areas the candidate did not demonstrate or confirm.
Overall rating and interview detailsBelow the AI analysis you will find the Overall Rating – a text summary of the candidate's suitability for the position. The Interview Details section shows the status, duration, scheduled time and actual time of the call. The Call History section shows individual call attempts, in case the Voicebot tried to call again.
Recording and transcriptThe results also include a Recording of the entire conversation, which you can listen to directly or download. Below the recording, a Transcript is available – a verbatim text record of the entire conversation with timestamps, distinguishing between the agent's and candidate's lines.
The recording, transcript, results, rating and AI analysis are generated automatically within a few minutes after the interview ends – no manual action is required.
8. Agent Management
The list of all created agents can be found in Settings → Advanced → RECRU AI Voicebot. Here you can delete agents you no longer need.

When assigning an existing agent to another project, a copy of the original agent will be created in the list.
9. Additional Settings and Information
Minimum interview scheduling time
An interview can be scheduled at the earliest 5 minutes from the current time. An earlier time is not permitted by the system due to the processing and preparation time required for the call.
Call Retry
If the call is unsuccessful because the RECRU AI Voicebot is unable to reach the candidate, the call is declined, or the candidate is unavailable at the time of the call, the RECRU AI Voicebot will retry the call at a later time.
Candidate GDPR consent
A Voicebot interview cannot be scheduled for a candidate who does not have a valid GDPR consent. Before launching the interview, make sure the candidate has an active and valid GDPR consent.
Company name in the introductionWhen the Voicebot calls a candidate, it will use the company name filled in under Settings → Company Settings during the introduction. This name cannot be changed directly in the voicebot settings.
Before launching the Voicebot, make sure the company name in Company Settings is correct and up to date – this is the name the Voicebot will use in every call.
